Reporting to the HRBP, DACH; as Human Resources Administrator, DACH, you will be responsible for supporting the administrative functions of the Human Resources Department, and for supporting the HRBP to deliver a complete generalist HR service to stakeholders within DACH. We are looking for a dedicated and detail-oriented HR Administrator (m/f/d) to join our team. In this role, you will be responsible for providing administrative support to the HR department and ensuring that all HR processes run smoothly and efficiently.

These services include (but are not limited to) document drafting, contract administration, filing, minute taking, responding to general HR queries, diary and travel management and meeting management.

 

Key Responsibilities

Onboarding

  • Validate new hire approvals / contract request documentation provided by KF Hire / iRPO to ensure complete data has been received, and accurate data has been submitted (both internal SAP assignment data and candidate personal data)
  • Draft and issue contracts of employment to new hires across DACH
  • Respond to candidate queries relating to their new hire documentation, escalating such to the HRBP, where appropriate
  • Act as Direct level Adjudicator for candidate Background Checks
  • Creation of employee personnel files and document maintenance
  • Facilitate new visa applications across DACH
  • Support with updating monthly HR payroll data for new joiners to the EMEA Payroll Team.

 

HR Operations

  • Responding to all generalist queries received via the ‘AskHR’ platform, and escalation of queries where relevant to the HRBP
  • Invoice administration relating to HR related activity
  • Generating vacation reports for accruals
  • Work with the Payroll team to ensure that employee queries and monthly payroll queries are handled in a timely manner
  • Work with internal IT teams to help manage and coordinate the return of leaver equipment across DACH
  • Facilitate visa renewals across DACH
  • Support with data capturing and regular data review of all benefits portals for DACH
  • Updating Korn Ferry employee data collection trackers
  • Continuous review and filling of employee personnel files and document maintenance
  • Support the HRBP with document drafting, including but not limited to salary certificates, contract changes, and leaver documents
  • Support the HR Business Partner, DACH & broader EMEA Human Resources team on Regional and Global Policy, process & System implementation as arise from time to time.

Timekeeping and Absence Management:

  • Manage working hours, and track vacation and sick leave

A1 Certificates:

  • Process and manage A1 certificates for employees temporarily working abroad

Payroll

  • Maintain all relevant ‘payroll trackers’ with variable changes to monthly payroll, as a result of administrator HR activity
  • Assist the HRBP with documentation collection to be shared with the payroll Team, to support any payroll activity in any given month

 

HRIS & Data Administration

  • Regularly work with the HRIS team to review and audit data, flag issues and process corrections as needed
  • Regularly work with payroll and global corporate HRIS team to research issues, look for root causes, escalate concerns and identify solutions

 

Compliance & Policies

  • Regularly monitor and audit HR files to maintain compliance with Korn Ferry policies and legal procedures.
  • Handle highly confidential information maintaining strict rules of confidentiality at all times
  • Monitor and manage the auditing of HR related documents on the HR systems.

The Candidate

 Experience and Professional Qualifications

  • Educated to degree level or above
  • Good knowledge of labor, tax, and social security laws, as well as payroll processing
  • Proficient in MS Office and experience with HR softwares (SAP, Lexware, Haufe)
  • Relevant Human Resources qualification (preferred)
  • Prior experience in an Administrator Human Resources role
